Schoology SIS Grade Sync Integration Overview

Note: This integration allows teachers to pass grades back to PowerSchool. If your school started using Schoology Enterprise before April 30, 2019, you may be using the PowerSchool API Integration to sync grades. If you are interested in the SIS Grade Sync integration, please reach out to your Client Success Manager.

The SIS Grade Sync integration allows instructors to easily sync grade items and grade changes from the Schoology gradebook to their SIS gradebook. Contact your Client Success team about using the PowerSchool SIF Integration to provision users, courses, and enrollments from your SIS into Schoology. Once you’ve completed that process, you can begin using this integration to pass grades from your Schoology gradebook back to your SIS gradebook.

Note: In order to use this app, you must reach out to your Client Success Manager to find out if your district and SIS are able to use this integration.

This article outlines how to configure and use the SIS Grade Sync integration for your district so teachers can sync grades and graded items over to their SIS gradebook.

Before you get started

Before you install the SIS Grade Sync app into your school or organization’s Schoology account, you must discuss a project plan for installation with your Schoology Client Success team.

How does the System Admin install the app in courses?

Configuration

Once you've completed the steps above, you can start setting up your SIS Grade Sync app in your Schoology System Admin account.

Step 1 — Install the app

  1. Navigate to the App Center from the top navigation of the Home page.
  2. Locate the SIS Grade Sync app from the available apps.
  3. From the app profile, click Install LTI App.

Step 2 — Configure the app

Navigate to the App Center from the top navigation of the Home page:

  1. Click Organization Apps at the top of the page.
  2. Click Configure to the right of the SIS Grade Sync app.
  3. Enter the API information you have obtained from your Client Success Manager or member of the Implementation team at Schoology.

Note: The API key and secret used in this step are different from the ones you obtained from your SIS provider.

Step 3 — Installing for Courses

Navigate to the App Center from the top navigation of the Home page:

  1. Click Organization Apps at the top of the page.
  2. Click Install/Remove to the right of the SIS Grade Sync app.
  3. Select the box to install the app to All Courses. We also recommend that you enable the box to make the app available to Course admins only.
  4. Click Submit to complete.

Once these steps are completed, all courses in your schools will have the grade sync option appear in the Schoology gradebook.

Note: There currently isn't a way to select specific courses during this installation process. If there are some sections in Schoology not mapped to your SIS, the app will still be installed into the course. In this case, the teacher can simply elect not to use the app.

The Course admins only configuration enables only enrolled Course Admins (instructors) to view the sync options from the course. System Admins cannot sync graded items on behalf of the teacher.

SIS Grade Sync Teacher Overview

The SIS Grade Sync integration is installed in your Schoology course by the System Administrator. SIS Grade Sync can only be used in courses that were created directly from your SIS. In these courses, grading categories have been created to match those in your SIS course.

These categories are already mapped between Schoology and your SIS and there is no course-level app. Therefore, you are not required to configure grading categories or an SIS Grade Sync app directly within your course.

What information is transferred from Schoology to my SIS?

Schoology will sync the following information to your SIS:

  • The name of the graded item.
  • The Total Points possible for the item
  • The Due Date for the graded item.
  • The Grading Category (as mapped from your SIS)
  • The Points Achieved by the student on the item
  • Missing exception (will pass back as a zero)
  • Excused exception (will pass back as null)

The following grade information will not be sent to your SIS:

  • Comments on graded items
  • Incomplete exception
  • Factor: All materials must use Factor of 1
  • Late status: if the material was submitted after the due date in Schoology
Note: Schoology does not delete assignments from other systems. To remove an assignment from your SIS, please delete it in both Schoology and your SIS gradebook.

How do teachers sync grades?

Before syncing your grades, ensure your course materials have the Sync to SIS option checked:

Syncing grades from the SIS Grade Sync Integration

Once SIS Grade Sync has been installed to your course section by your System Admin, you will see additional options at the top of your Schoology gradebook:

  • Sync to SIS
  • SIS Sync Log 

Sync to SIS — Choose this option to sync your grades. The first time this is initiated, all graded materials in mapped categories will be sent to your SIS with their scores. Subsequent syncs will send all gradebook changes to your SIS including new scores, updated scores, and new materials.

Note: Grade information is passed back from Schoology to your SIS when you choose to sync the two gradebooks and cannot be scheduled.

SIS Sync Log — Choose this option to view all the gradebook syncs from the last 30 days. You will see the date and time of the sync and the status.

Status indicators:

Processing — The sync has not completed yet.
Complete — The sync has completed successfully.
Failed — If a sync has failed, you can click on the failed status in the log to view additional detail on why the sync was unsuccessful.

Important Notes

  • The Schoology SIS Grade Sync integration only supports the passback of grades by mapping grading categories between the two systems. The integration does not currently support the creation of new categories in your SIS through Schoology or the mapping of categories manually created in Schoology. In other words, only course materials associated with the pre-mapped grading categories in Schoology will be synced back to your SIS.
  • SIS Grade Sync can only be used in courses that were created directly from the SIS.
  • Currently, only material grades are supported as part of the gradebook sync. Grading scales, weights, attendance will not be passed over to your SIS.
  • Due date may be a required field in your SIS, but not in Schoology. Please make sure your Schoology assignments have due dates within the term to ensure your grade sync is successful. If no due date is set, Schoology will set the due date to the last date in the grading period.
  • If an item is Ungraded in Schoology, meaning it is not associated with a grading category, it will not sync to your SIS.

Frequently Asked Questions

How often is information updated between the systems?
Grade information pushed from Schoology to your SIS is done when a teacher chooses to sync the two gradebooks and cannot be scheduled.

If I delete an assignment in Schoology, will the sync also delete it from my SIS?
Schoology does not delete assignments from other systems. To remove an assignment from your SIS, please delete it in both Schoology and your SIS gradebook.

Should I make changes directly in the SIS gradebook? If so, will they be reflected in Schoology?
No. Graded items created and updated in your SIS will not be transferred to Schoology. We strongly recommend that you maintain Schoology as the master source for changes to grade data. In order to provide a consistent data model for your school, all grade changes should be managed from Schoology.

Does the SIS Grade Sync App support the drop lowest grading category setting?
No. All grades will be passed back to your SIS.

Do I have to map grading categories in the course-level app?
No, the grading categories are already mapped since the SIS Grade Sync app supports the passback by mapping grading categories between Schoology and your SIS.

Can I map multiple Schoology categories to one SIS category?
No, the SIS Grade Sync app only supports the passback by mapping grading categories between the two systems. The SIS integration does not currently support the creation of new categories in your SIS through Schoology or the mapping of categories manually created in Schoology.

If I make changes in the SIS gradebook, will this sync to Schoology?
No, the sync does not support changes in the SIS to sync to Schoology. It only supports grade changes from Schoology to the SIS.

How do blank grade cells sync over?
The SIS Grade Sync app will sync a blank grade to the SIS. Note that some Student Information Systems may handle a blank grade differently to others. In this case, you may need to check the settings at system-level on the SIS end.

How do exception codes sync over?
Missing and Excused exceptions will sync to the SIS. Incomplete exceptions do not sync to the SIS.

Can I sync unpublished items?
Materials that are Unpublished in Schoology are synced to the SIS.

Can I sync comments on graded items?
No, comments are not synced to the SIS.

Can I sync items with titles longer than 50 characters?
If you are using PowerSchool, items longer than 50 characters will not sync over.

If I delete an item in Schoology, will the item be deleted in the SIS?
No, you must delete the item in the SIS also.

If I delete an item in the SIS, can I recreate it with another sync from Schoology?
Yes.

If I restore a deleted item in Schoology that previously synced with the SIS, will the sync be broken?
No, the sync will not be broken.

What happens when an assignment does not have a due date?
It will still sync but the SIS may require a due date. Schoology will set the due date to the last date in the grading period.
