How Do I Use the Calendar?

The Schoology Calendar is an important, organizational element regarding your connections, courses, and groups. It keeps events and due dates organized and easily accessible. By clicking the Calendar icon at the top of Schoology, you can view events and due dates by the Month, Week, or Day. Each item is color-coded depending on the affiliation to which it pertains (Courses, Groups, School, or Personal).

Create Events

Events can be created in from various areas of Schoology (Home Page, Course Profile, Group Profile, etc.). You can only create events in a course or group if you are the administrator for the course or group.

The quickest way to create an event is from the Recent Activity tab on your Home Page. Locate Event in the upper middle part of the page.

To create an event, follow these steps:

From the Home Page

  1. Select the Calendar area in the left column of your Home Page.
  2. Click on a specific calendar day.
  3. Fill out all the necessary info.
  4. Click Create to complete.

From a Course or Group

  1. Navigate to the desired Course or Group Profile using the top menu.
  2. Click Add Event to the right.
  3. Fill out all the necessary info.
  4. Click Create to complete.

Edit an Event

There are two methods in order to modify an existing Event. You can edit the title, description, time/date of your events, RSVP settings, add content, formatting and more.

Edit an event from the Calendar:

  1. Click the calendar icon.
  2. Click the event.
  3. Click Edit Event.
  4. Edit the necessary info
  5. Click Save Changes to complete.

Edit an event from the Upcoming area:

  1. Click the event.
  2. Click the gear icon.
  3. Select Edit.
  4. Edit the necessary info
  5. Click Save Changes to complete.

Invite People

To invite people to your event, the event must have RSVP enabled. From the event profile, you can invite people using the +Invite Other Guests button in the top right corner. You can use this button to invite your connections from other schools as well as your own.

RSVP options:

  • Disabled: Requires no RSVP. This event is visible to you and/or members.
  • Only Invitees Can RSVP: Event remains personal or allows for RSVP from connections or members.
  • Anyone Can RSVP: Event becomes public (available to anyone).
  • Attach a File, Link, or Resource (optional).
  • You can Enable Comments at the bottom left (optional).
Note: If you create an event with RSVP from your personal calendar, you can invite people manually from the event profile. If you create an event with RSVP from a Course or Group Calendar, then the Course or Group members are automatically invited.

Delete Events

Events can be deleted from any area in which they appear in Schoology (Home Page, Course Profile, Group Profile, etc.). 

To delete an event, follow these steps:

From the Home Page or the Calendar Pop-Up in a Course or Group

  1. Select the Calendar icon at the top of your Home Page, or the Calendar Icon in your course.
  2. Click on the event you'd like to delete.
  3. In the corresponding pop-up, choose View Item.
  4. From the event's profile page, use the gear drop-down to choose Delete.
  5. After confirming the deletion, your event will be deleted.

From Upcoming list of Home, Course or Group

  1. Click on the event listed under the Upcoming menu.
  2. From the event's profile page, use the gear drop-down to choose Delete.
  3. After confirming deletion, your event will be deleted.

Color-Code Calendar

When accessing your personal Calendar, you view all personal, school, group, and course items by default. To filter the calendar view, follow these steps:

  1. Click All Calendars near the top of the calendar.
  2. To customize colors associated with each calendar, click on a calendar and select a color from the chart that appears to the right.

Filter the Calendar

By default, the personal calendar displays all school, course, and group calendars. However, you can use the same area used to color-code the calendar to filter the calendar to more specific views.

To filter the calendar, click on the check box to the left of the calendar you'd like to view.

Importing a Different Calendar into Schoology

You can import a calendar file from a different calendar tool - such as Outlook Calendar, iCal or Google Calendar - into your Schoology calendar. Note that importing a third-party calendar into Schoology is a one-time event; after the import, changes you make in that third party calendar will not update in Schoology. All changes will need to be made directly in the Schoology calendar.

To import a third party calendar into Schoology, you will need to first generate an .ics file. 

From your Outlook Calendar:

  1. In Outlook Calendar, select a calendar to make it the active calendar in the view.
  2. On the File menu, click Save As.
  3. Type a name for the iCal file in the File name text box.
    A summary of the calendar name, date range, and detail level appears next to More Options. If you are satisfied with the summary, proceed to step 6, otherwise continue with step 4.
  4. Click More Options.
  5. From the Date Range list, choose the amount of calendar data to include in Schoology, or click Specify dates to enter a custom date range
    Note: There is a limit of 10,000 events for the Schoology calendar. If you choose a large date range or select the whole calendar, your file may be too large.
  6. Click Ok and then click Save to save the .ics file. 

From Apple Calendar:

  1. Open the Calendar App.
  2. Click the File menu.
  3. Select Export, then choose Export...
  4. Name your calendar file and click Export to save the .ics file.

From Google Calendar:

  1. Open Google Calendar. (You can only export from a computer, not a phone or tablet.)
  2. In the top right, click Settings > Settings.
  3. Click Import & Export.
  4. Click Export..

A ZIP file will be downloaded to your computer. If you open the .ZIP file, you'll see individual ICS files for each of your calendars.

Once you've downloaded your .ics file, log into your Schoology account and follow these steps:

To add these events to your Personal calendar:

  1. Click Calendar icon at the top of Schoology.
  2. At the bottom of the Schoology calendar, click Import.
  3. Click Attach File and locate the .ics file you exported to upload.
  4. Click Import.

You will now see the events from your external calendar appearing on your personal Schoology calendar.

To add these events to a Course calendar:

  1. Select the course from your Courses drop-down menu at the top of the home page
  2. On the right side of the course, click the Calendar icon in Upcoming
  3. At the bottom of the calendar, click Import.
  4. Click Attach File and locate the .ics file you exported to upload.
  5. Click Import.

You can also add your Schoology calendar to a different calendar so that changes you make in Schoology automatically update in your other calendar.For instructions on how to link your Schoology calendar to a different calendar, click here.
