Export (Enterprise)

The Export area allows you to export a CSV file of a user, course, section, course enrollment, gradebook, and attendance information.

For a successful export, users should have a Unique User ID, courses should have a course code, and sections should have a section code or section school code in Schoology.

  1. Click Tools.
  2. Select School Management from the drop-down menu.
  3. Click Export from the navigation menu.

Export Users

The Users tab provides the ability to export users.

  1. Select the Fields (types of information) to export. Each field will export a column of user information, which you may filter as needed.

    Schoology User IDThe unique user ID assigned by Schoology
    Unique User IDThe Unique ID field in Schoology, which is often a student ID assigned in the SIS
    SIS User IDThe SIS user ID may be used for organizations that have imported PowerSchool Learning content only.
    School NIDThe unique school ID assigned by Schoology
    School TitleThe name of the main school the user is affiliated with
    Additional SchoolsThe NIDs of additional schools the user is affiliated with
    Name PrefixThe user's honorific or prefix (ex. Mr., Mrs., Dr.)
    First NameThe user's first name
    First Name (preferred)The user's preferred first name
    Last NameThe user's last name
    RoleThe user's role within Schoology (ex. Student, Parent, Teacher)
    UsernameThe username assigned by the district
    EmailThe user's email address
    Position/Job TitleThe user's position, as displayed on their profile
    Graduation YearThe user's graduation date
    BirthdayThe user's birthday
    GenderThe user's gender
    BioThe user's bio information, as displayed on their profile
    Subjects TaughtThe subject(s) the user teaches
    Levels TaughtThe level(s) the user teaches
    Phone NumberThe user's phone number
    WebsiteThe user's website
    InterestsThe user's interests, as displayed on their profile
    ActivitiesThe user's activities, as displayed on their profile
  2. Click Next.
  3. Click Export.

Export Courses

Use the Courses tab to export your school's course information. To export, courses should have a course code, and sections should have a section code or section school code in Schoology.

  1. Select the grading period(s) associated with the courses to export.
    • Select Active—Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  2. Select the course(s) to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All—Selecting this option will select all of the listed courses.
  3. Select the course information to export.

    Department CodeThe name of the department in Schoology
    Course CodeThe code associated with the course (ex. MATH-101)
    Course DescriptionThe description of the course
    CreditsThe number of credits the course is worth
    Course NIDThe unique ID number assigned by Schoology
    School IDThe unique ID number assigned by Schoology
    School TitleThe name of the school
  4. Click Export.

Export Sections

Use the Sections tab to export your school's course sections. Courses should have a course code to export sections, and sections should have a section code or section school code in Schoology.

  1. Select the grading period(s) associated with the sections to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  2. Select the section(s) to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option will select all of the listed sections.
  3. Select the section information to export.

    Course NameThe name of the course in Schoology
    Course CodeThe code associated with the course (ex. MATH-101)
    Department CodeThe name of the department in Schoology
    Course DescriptionThe description of the course
    CreditsThe number of credits the course is worth
    Section NameThe name of the section in Schoology
    Section CodeThe code associated with each section can be re-used for different grading periods
    Section School CodeThe section school code that is unique to that specific class, school, and term
    Section DescriptionThe description of the section
    LocationThe location of the section as listed under Information
    Meeting DaysThe days of the week the section meets as listed under Information (1=Monday, 2=Tuesday, etc.)
    Weighted Grading CategoriesThe number of weighted grading categories applied to the section
    Final Grading Scale IDThe ID number that is associated with the final grading scale, which is the same across sections with the same scale
    School IDThe unique school ID as assigned by Schoology
    School TitleThe name of the school
    Section NIDThe unique section ID as assigned by Schoology
  4. Click Export.

Export Course Enrollments

Use the Course Enrollments tab to export your school's course enrollments. To export course enrollments, users should have a Unique User ID, courses should have a course code, and sections should have a section code or section school code in Schoology.

  1. Select the grading period(s) associated with the sections whose enrollment to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  2. Select the section(s) to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option will select all of the listed sections.
  3. Select the user information to export.

    NameDescription
    Unique User IDThe Unique ID field in Schoology, which is often a student ID assigned in the SIS
    First NameThe first name of the enrolled member
    Last NameThe last name of the enrolled member
    EmailThe email address of the enrolled member
    Course NameThe name of the course in Schoology
    Course CodeThe code associated with the course (ex. MATH-101)
    Section NameThe name of the section in Schoology
    Section CodeThe code associated with each section can be re-used for different grading periods
    Section School CodeThe section school code that is unique to that specific class, school, and term
    SIS Section School CodeThe section school code in your organization's SIS, if you use cross-listing
    Enrollment Type (1=Admin/2=Member)The enrollment type of each account within each course
    StatusThe current status of the enrollment
    School IDThe unique school ID as registered in Schoology
    School TitleThe name of the school
  4. Click Export.

Export Gradebook

Use the Gradebook tab to export your school's grades. Grades are calculated in this export as Gradebook as CSV.

  • To export gradebook information, users should have a Unique User ID, courses should have a course code, and sections should have a section code or section school code in Schoology.
  • Exported gradebooks do not include unpublished items in the Overall or Grading Period grade. However, each unpublished grade item is included in rows in the report.

There are several important factors in how grades are calculated in this format:


Gradebook as CSV

Overall / Grading Period Grade

Overall or Grading Period grade calculations are included in the report.

Hidden or Unpublished Materials

Included in the report but not included in Overall or Grading Period grade calculations.

Factors

Items with a factor are multiplied by that factor and then included in the final score.

Weighted Categories

Impact grade calculations.

  1. Choose to export by School or Individual Users.
  2. Select the grading period(s) associated with the sections whose grades to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  3. Select the section(s) to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option will select all of the listed sections.
  4. Select the user information to export.

    School TitleThe name of the school
    First NameThe first name of the enrolled member

    RoleThe enrolled member's role within Schoology (ex. Student, Parent, Teacher)
    Course NameThe name of the course in Schoology
    Course CodeThe code associated with the course (ex. MATH-101)
    Department CodeThe name of the department in Schoology
    Section NameThe name of the section within Schoology
    Section CodeThe code associated with each section can be re-used for different grading periods
    Section School CodeThe section school code that is unique to that specific class, school, and term
    SIS Section School CodeThe section school code in your organization's SIS, if you use cross-listing
    Grading PeriodThe grading period associated with the graded item
    TitlesThe names of the grading periods and graded items
    Due DatesThe due date for the graded item (if applicable)
    Max PointsThe maximum amount of points available for the grading period or graded item
    GradesThe number of points awarded
    Letter GradesThe letter grade for the number of points awarded
    CommentsAll comments made per graded item
  5. On the next screen, choose Grade Items or Midterm/Final, Overall Grades.
  6. Click Export.

Export Attendance

Use the Attendance tab to export your school's attendance. The export can only include present records that have attendance comments, it cannot include present records without comments.

  1. Choose to export by School or Individual Users.
  2. Select the grading period associated with the courses to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  3. Select the section(s) to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option selects all of the listed sections.
    • Add date range: Selecting this option enables you to select the date range of the attendance you would like to export.
  4. Select the attendance records to export.

  5. Select the user information to export.
  6. Click Export. The CSV file will list marked attendance (Absent, Late, or Excused) by course section, which you may filter as needed.


If you are using Schoology in a double-byte language, such as Japanese, Chinese, or Korean, you may have to change the encoding of the CSV file to correctly display the characters.

Auto-Export

Use the Auto-Export tab to use the auto-export tool.
