Export area allows you to export a CSV file of user, course, section, course enrollment, gradebook, and attendance information. System Admins can access this area by clicking Tools at the top of any page, selecting School Management from the drop-down menu, then clicking Export from the left menu:

Important Notes:
  • For a successful export, users should have a User Unique ID, courses should have a course code, and sections should have a section code or section school code in Schoology.
  • Schoology is optimized for imports and exports to process most quickly between the hours of 7pm to 6am Eastern Time (ET) from Monday to Sunday. Schoology strongly recommends performing or scheduling all imports, exports, and bulk deletions during this time frame.

Exporting Users

The Users tab provides the ability to export users in your school. To export user information, follow this process:

  1. Select fields—Select the Fields (types of information) to export. Each field will export a column of user information, which you may filter as needed. 
    Name Description
     Schoology User ID The unique user ID assigned by Schoology
     Unique User ID The Unique ID field in Schoology, which is often a student ID assigned in the SIS 
     School NID The unique school ID assigned by Schoology 
     School Title The name of the main school the user is affiliated with
     Additional Schools The NIDs of additional schools the user is affiliated with
     Name Prefix The user's honorific or prefix (ex. Mr., Mrs., Dr.) 
     First Name The user's first name
     First Name (preferred) The user's preferred first name
     Last Name The user's last name 
     Role The user's role within Schoology (ex. Student, Parent, Teacher)
     Username The username assigned by the district 
     Email The user's email address 
     Position/Job Title The user's position, as displayed on their personal profile 
     Graduation Year The user's graduation date 
     Birthday The user's birthday
     Gender The user's gender
     Bio The user's bio information, as displayed on their personal profile
     Subjects Taught The subject(s) the user teaches
     Levels Taught The level(s) the user teaches
     Phone Number The user's phone number
     Website The user's website 
     Interests The user's interests, as displayed on their personal profile
     Activities The user's activities, as displayed on their personal profile 
  2. Click Export—To export a CSV file of the selected information, click the Export button.

Exporting Courses

Use the Courses tab to export your school's course information.

Note: To export courses, To export sections, courses should have a course code, and sections should have a section code or section school code in Schoology.
  1. Select grading period—Select the grading period(s) associated with the courses you’d like to export.
    • Select Active—Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  2. Choose courses—Select the course(s) you’d like to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All—Selecting this option will select all of the listed courses.
  3. Select fields—Select the course information you’d like to export. 
    Name Description
     Course Name The name of the course in Schoology
     Department Code The name of the department in Schoology
     Course Code The code associated with the course (ex. MATH-101)
     Course Description The description of the course
     Credits The number of credits the course is worth
     Course NID The unique ID number assigned by Schoology
     School ID The unique ID number assigned by Schoology
     School Title The name of the school 
  4. Export—To export a CSV file of the selected information, click the Export button.

Exporting Sections

Use the third tab in the Export area to export your school's course Sections.

Note: To export sections, courses should have a course code, and sections should have a section code or section school code in Schoology.
  1. Select grading period: Select the grading period(s) associated with the sections you’d like to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  2. Choose Sections: Select the section(s) you’d like to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option will select all of the listed sections.
  3. Select fields: Select the section information you’d like to export. 
    Name Description
     Course Name The name of the course in Schoology
     Course Code The code associated with the course (ex. MATH-101)
     Department Code The name of the department in Schoology
     Course Description The description of the course
     Credits The number of credits the course is worth
     Section Name The name of the section in Schoology
     Section Code The code associated with each section, which can be re-used for different grading periods 
     Section School Code The section school code that is unique to that specific class, school, and term 
     Section Description The description of the section
     Location The location of the section as listed under Information 
     Meeting Days The days of the week the section meets as listed under Information (1=Monday, 2=Tuesday, etc.) 
     Weighted Grading Categories The number of weighted grading categories applied to the section 
     Final Grading Scale ID The ID number associated with the final grading scale, which is the same across sections with the same scale
     School ID The unique school ID as assigned by Schoology
     School Title The name of the school
     Section NID The unique section ID as assigned by Schoology
  4. Export: To export a CSV file of the selected information, click the Export button.

Exporting Course Enrollments

Use the fourth tab to export your school's course enrollments.

Note: To export course enrollments, users should have a User Unique ID, courses should have a course code, and sections should have a section code or section school code in Schoology.
  1. Select grading period: Select the grading period(s) associated with the sections whose enrollment you’d like to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  2. Choose Sections: Select the section(s) you’d like to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option will select all of the listed sections.
  3. Select fields: Select the user information you’d like to export.
    Name Description
     Unique User ID  The Unique ID field in Schoology, which is often a student ID assigned in the SIS
     First Name The first name of the enrolled member
     Last Name  The last name of the enrolled member
     Email  The email address of the enrolled member 
     Course Name The name of the course in Schoology 
     Course Code The code associated with the course (ex. MATH-101) 
     Section Name  The name of the section in Schoology 
     Section Code The code associated with each section, which can be re-used for different grading periods
     Section School Code The section school code that is unique to that specific class, school, and term
     SIS Section School Code  The section school code in your organization's SIS, if you use cross-listing
     Enrollment Type (1=Admin/2=Member) The enrollment type of each account within each course
     Status  The current status of the enrollment
    • 1: Active
    • 2: Expired (i.e. past course)
    • 3: Invite pending
    • 4: Request Pending
    • 5: Archived (Course specific status members can be placed in before being fully unenrolled)
     School ID  The unique school ID as registered in Schoology 
     School Title  The name of the school

  4. Export: To export a CSV file of the selected information, click the Export button.

Exporting Gradebook

From the fifth tab in Export, you can export grades in your school. Grades are calculated in this export as a CSV for import into other system.

Important Notes:
  • To export gradebook information, users should have a User Unique ID, courses should have a course code, and sections should have a section code or section school code in Schoology.
  • Exported Gradebooks do not include unpublished items.
  1. Export By: Choose to export by School or Individual Users.
    • School: Choose individual schools or all schools to export all of the grades within a school or schools.
    • Individual Users: Search for individual users to export all grades for that user.
  2. Select grading period: Select the grading period(s) associated with the sections whose grades you’d like to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  3. Choose Sections: Select the section(s) you’d like to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option will select all of the listed sections.
  4. Select fields: 
    • Select the user information you’d like to export.
    Name Description
     Unique User ID The Unique ID field in Schoology, which is often a student ID assigned in the SIS
     School ID The unique school ID as registered in Schoology 
     School Title The name of the school
     First Name The first name of the enrolled member
     Last Name The last name of the enrolled member
     Email The email address of the enrolled member
     Position/Job Title The position of the enrolled member, as displayed on their personal profile
     Role The enrolled member's role within Schoology (ex. Student, Parent, Teacher)
     Course Name The name of the course in Schoology 
     Course Code  The code associated with the course (ex. MATH-101)
     Department Code The name of the department in Schoology
     Section Name The name of the section within Schoology
     Section Code The code associated with each section, which can be re-used for different grading periods
     Section School Code The section school code that is unique to that specific class, school, and term
     SIS Section School Code The section school code in your organization's SIS, if you use cross-listing
     Grading Period The grading period associated with the graded item
     Titles The names of the grading periods and graded items  
     Due Dates The due date for the graded item (if applicable) 
     Max Points The maximum amount of points available for the grading period or graded item
     Grades The number of points awarded 
     Letter Grades The letter grade for the number of points awarded
     Comments All comments made per graded item

  5. What grades would you like to export? (you can specify or choose both)
      • Grade Items: Assignments, Test/Quizzes, Assessments, Graded Discussions
      • Midterm/Final, Overall Grades

  6. Export: To export a CSV file of the selected information, click the Export button. The CSV file will list grades by course section, which you may filter as needed.

Exporting Attendance

Use the sixth tab in the Export area to export attendance in your school.

  1. Export By: Choose to export by School or Individual Users.
    • School: Choose individual schools or all schools to export all of the grades within a school or schools.
    • Individual Users: Search for individual users to export all grades for that user.
  2. Select grading period: Select the grading period associated with the courses whose attendance you’d like to export.
    • Select Active: Selecting this option will select all current grading periods at your school. Current grading periods are grading periods that have started, but not yet ended.
  3. Choose Sections: Select the section(s) you’d like to export. If there are more than 500 courses associated with the selected grading period(s), Schoology will automatically export a CSV file of all courses.
    • Select All: Selecting this option selects all of the listed sections.
    • Add date range: Selecting this option enables you to select the date range of the attendance you would like to export.
  4. Attendance Code: Select the attendance records you'd like to export.
Note: The export can only include present records that have attendance comments, it cannot include present records without comments.

  1. Select fields: Select the user information you’d like to export.
  2. Export: To export a CSV file of the selected information, click the Export button. The CSV file will list marked attendance (Absent, Late, or Excused) by course section, which you may filter as needed.
Note: If you are using Schoology in a double-byte language, such as Japanese, Chinese, or Korean, you may have to change the encoding of the CSV file to correctly display the characters.

To change encoding settings in Microsoft Excel, open the Options menu. In Excel 2013, you open Options from the File menu in the top row; previous versions of Excel access Options from different locations (the Microsoft logo button in Excel 2010, for example).

  1. Select Advanced from the Options menu.
  2. In the General section, click Web Options.
  3. On the Encoding tab, choose the appropriate language from the Save this document as list: For example, select Japanese (JIS) to display Japanese characters.
  4. Click OK to close the Web Options menu.
